Team,

We must continue to prioritize Karen/Travis’s needs for the plan, as well as some requests from Rob that are due today. In lieu of a call, I figured we could work this out in email, in the interest of time:

Rhonda, the last meeting with the tree team, I explained that we could not have links in the photos table to Projectwise, and that the design teams would be better served to just be provided a folder on Projectwise to access site-related photos.

That raised the question as to why we were even capturing photos in the database in the first place – for planning level sites (site selection). No other strategy is storing planning level photos in the database.

So the first item is – do we need to continue to capture photos in the database at all? And if yes, shouldn’t this only be for inspection-related photos?

I think the main issue we need to work out is what photos we need to have linked in the database and labeled according to the naming convention. Per the original process document that we received when we started this task a couple years ago, we were only collecting and labeling one photo per site. Photos are collected at the site selection field review phase and during site verification inspections. Which of these photos (if any) need to be archived in the database?

If we want to continue choosing one photo per site to archive, we can continue to do that and submit to you the labeled photos saved with file names per our naming convention. I'm just not sure exactly where those go or what they are used for.

For design purposes, we are considering creating a Tree Photo Library folder on PW, so that we can store and access all photos for all sites. Within the Tree Photo Library folder we'd have a Site Selection folder where the photos are named according to the SSID. We'd also have a Site Verification folder where photos are named by STRU_ID.

It is time consuming to physically label the photos with ID and Date, so if that isn't necessary, I think it is preferable to store that info in the file name. Let me know what you think! Thanks!

I have met with Rhonda and will discuss the outcome of our conversation at the tree meeting on Monday. This is now closed. Filename is fine - you don't need to label the photos.
