Questions for the organizers #63

Sorry, the confirmation period has already ended and we had to give your spot to another person.

ferbsx commented 6 years ago

Could this be a little bit more informative and longer to be more sympathetic. People often get very angry, understandably and email us many times if such a thing happens to them.

So maybe something like this: (feel free to change it a bit and make it more "heart-ful") "Oh no! You're too late. You had to confirm your attendance by . We had far more applicants hoping to get a spot, so we gave your spot to someone from the waiting list. We're really sorry to have to decline you, but this is the only way we can ensure the highest attendee show-up rate. We are sincerely sorry for this and really hope to get to meet you at the next workshop."

Thank you! 🌺

It's too late for the current workshop. But for the future and given the GDPR: Should there be a privacy notice at the bottom of the application form?

juopmu commented 6 years ago

Is there a special way you would like your e-mails to look like?

ferbsx commented 6 years ago

As for the privacy notice: yes there should be one. I guess it should say something along the lines of "Your data is saved securely on the Rails Girls Berlin (code curious) database for a limited amount of time, which we need to send you emails regarding the workshop."

We should also add a line saying; "You can sign up for the Rails Girls Berlin (code curious) Newsletter) by following this link" link: https://tumblr.us5.list-manage.com/subscribe?u=5f40ba1ddff89e54df3293bd3&id=75e77ff678

110 : As for the future for the coaches sign up form, there should be a notice saying "By signing up to coach at this event, your e-mail will be added to our coaches pool e-mail list. We use this list to inform coaches about upcoming workshops." and next to this, there should be an "Opt-out" button they can press if they do not want to have their email saved.

(It would be magical if this then later produces a csv file called "Coaches-pool" or something which has the coaches' name, email, language preference, workshop date (eg: Beginners WS July 2018). This is saved if the person did not opt-out of this condition). We use MailChimp (a tool we are currently using to send mass emails that unfortunately costs us a monthly fee), and there we have a list of coaches' emails and to add new emails, we can use a csv file which is great (it automatically takes care of duplicates).

As for the emails, also yes. I will open a new issue and upload pictures of how the current emails look 😄

Hey @ferbsx, a question regarding the coaches registration: wouldn't be that useful to have in the future the registration form with all informations about the coaches ("Register as coach") also in this application insted of google docs?
