Refine IG/WG guidelines and templates and encourage existing groups to adopt the "improvements" #74

Remind IG/WG chairs of the importance of taking notes for group calls, and don’t overthink it. If the call was short, even two sentences is better than nothing. Digest versions should articulate why discussion is important; encourages more local/informal discussions to become broader Formalize outreach from Steering Group members or “senior” partners to have this direct engagement. Clarify the importance of a lightweight communication plan in the IG/WG charter template. The template only includes communication channels now, with no indication of what the IG/WG chairs should be communicating to whom and when. Draft a lightweight communication plan framework and revise the IG/WG template to include it. Include in that framework a monthly email to hydra-community that communicates progress to the whole community. Related point: what is the relationship to the wiki for IG/WG documentation? Add a sunset date to the IG charter template to help with less focused IGs; perhaps the default is 6-12mos. out. Ask existing IG/WG chairs to add this to their charters and consider their own sunset date Remove IG/WG updates from the monthly partner call agenda IG/WG should send monthly (or otherwise periodic) updates to the partners list, just like the partners do Consider communication channels for upper administration/executives, particularly when there is an impending change in leadership at a partner institution. Develop a shared community calendar REPRESENTED AS A CALENDAR to indicate when calls are scheduled. Consider having IG/WG scheduled meet-ups at Hydra Connect: opportunity to recharge (or dissolved?), solicit/mentor new members, plan for the coming year, etc. A number of the recommendations in this list would benefit from having an owner, e.g., writing up periodic update digests, making sure IG/WG calls are on the calendar, and more. It would be good to explore using Hydra $ to fund a community manager for some of these, until/unless a volunteer within the community steps forward to take this on. Recharge the Web Presence WG: figure out the web communications strategy, relationship to wiki documentation, with particular focus on newcomers Should be considered in concert with Hydra-in-a-Box as it rolls out, given that it is likely to be a gateway to Hydra for new audiences. Discourage the “oh, you’re new; join an IG” as a solution until we have a better pathway in
