CSS should be working. Sustain stuff is working.

[Pia] Talked to Kat. We have a big room. She’s happy that we have coverage for travel and child care. Recap email sent to Gunner. Not sure status of breakout rooms. If it’s too much for her, we can use our money for the room. She’s good with giving us the extra room.

[Gunner] If we have the big room and a decent number of breakouts we’ll be fine.

[Pia] Also had to talk with Ford Foundation. Ben has helped with this.

[Gunner] If we have the full room, we need a new diagram for the full room. Can we get 80 chairs in a single polygon? How many chairs go along the long-side and short-side of the wall. We can do the math from there.

[Pia] Asked if we should deal with hotels directly. She said no. Kat is going to start joining these meetings starting next week.

Fund source.. waiting to hear from CloudFlare and Slack and Salesforce. Everyone else either paid or said no.

[Justin] I’m only worried about SalesForce. Perhaps we can do the Heroku brand instead?

[Pia] We’ll see what they say.

[Ben] Everyone on list that we put together from last year and year before have been invited. Doesn’t have access to tickets that have been sold yet.

[Pia] We’ve sold 15 tickets

[Ben] Sent email to 15 of 16 people who applied for sponsorship. One more person has since applied. Guess that at some point we decide to close those sponsorship applications. I suspect we are going to have quite a few people on the list that we would like to attend. Make decision to send announcement “can you apply before day x?”. At the moment, I’ve told people “can you come back with flight cost and where you’d like to stay?”.

[Gunner] Can we look at places close by?

[Ben] Got 8 replies so far.

[Pia] What’s the gender breakout of those we are inviting.

[Ben] Guess is that 6 of 15 are female. That’s just a guess. Re. Hotel options the pullman is expensive. We will have a look and see if there are any alternatives.

[Pia] How many can we fly?

[Ben] Range of 10-15 people.

[Pia] We have 15 registered, another 10-15 to register. Then there’s us. We also need to reach out to people who are going to mozzila and open source summit

[Ben] Tweets would help too. “If you’r going to this, you should go to that”. Also decide on cut-off date so we can move on.

[Pia] On tickets, we have some money we can pull from (in collective). We also have money from Sloan.

[Justin] How many more sponsorships realistically do we need?

[Pia] 2 or 3 more would be good. That should be possible.

[Gunner] Talked with Josh. He’s ready for invoice for Sloan money. Only subtlety is for our audit purposes, we’ll need later on to match the amount you invoice for. We need to show that the money was spent on travel. Show the receipts for the plane tickets so they add up to be $11k. Electronic copies will be fine.

[Eric] If you need any advertising, let me know

[Pia] Kat needs a list of attendees for pre-registration at Google.

[Justin] What if we did a landing page with us, _source and mozfest along with advertising on CodeFund?

[Pia] I just want to identify the right people to invite. DDS?

[Ben] Terrence Eden is not around but he’s hunting for appropriate people

[Pia] Also talking with Rachel Norfolk at Google.
