Describe the problem.

With our TCP intake (and soon the review process) being conducted in Knack, I'd like to build out our Utility Coordination (UC) intake side as well. We currently have 4 smartsheets for our Utility Coordination Team that I'd like to combine to a single Knack Portal. It's very tedious for our staff and lead (Samson) to check 4 different smartsheets everyday. Ultimately, I'd like to combine the TCP and UC into a combined ROW knack portal.

Describe the solution you have in mind.

I'd like to create a Knack portal for UC request processes (these are different than AMANDA): UC Resubmittal Request, AULCC Completeness Letters, Renewing Expired AULCC Completeness Letters, GP Exemption Review. We can ultimately combine this UC and TCP into a single ROW Engineering Knack Portal.

How will we know that our solution is successful?

Reduced times for processing, which is a current complaint. Having 4 different smartsheets makes it easy to lose your progress/checklist. We will also see reduced errors and missed deadlines as well with this new Knack solution.

Is there anything else we should know?

Not really a strict deadline, but after the TCP portal upgrades for phase 2 (review workload) is completed - I'd like to start this.

How have other divisions/departments/cities addressed similar challenges?

We are unique in this process since we facilitate the AULCC and all utility coordination processes. No other department has these challenges since they do not manage AULCC.

Update Aug 2024

Although this is a need, it will not be prioritized until after the updates to the UC programs are complete. Until further scoping is done DTS can't be sure if this will be project sized or if it will move into our sprint backlog. For now I'll leave it in the sprint backlog.
