From Christina T: The cost of sign data collection from DTS was around $205,000 . The cost of sign data from Cyclomedia was around $206,000 and included sign faces, sign structures and poles.
Diana and I had a conversation today regarding the sign data collection. I reached out to Ed from Public Works to find out if they have the DTS imagery from last year to take a look and see what the level of effort would be for us to collect the signs in the northern half of the City in house (potentially assigning the collection effort to Susanne)! Or what the level of effort would be to go back with work orders to reconcile all new sign installs if we did purchase the data from last year.

Followed-up w/ Peggy:
Lewis also has an interest in getting citywide street sign data. They will need to provide a cost estimate of what it would take to replace all of our 30 mph signs with 25mph signs if they were to change the prima facie speed limit.
I know we talked about involving other city departments and expanding the scope of the procurement to asset data beyond just street signs. For the sake of time, I'm in favor of keeping the scope narrow and moving forward with a sign data purchase ASAP, which we were estimating at ~$250k. We have our sign asset management solution coming online at the end of the month, so we'll be ready for the data.

@dianamartin reminder to send me whatever materials you have handy about the level of effort of the cross walk digitization. How many staff, how many hours, and how many features were digitized.

SMB is taking the lead and DTS is supporting in a consultant role. @jaime-mckeown is taking the lead from our team and project is kicking off this week.
Kickoff meeting with SMB took place. Ready to provide any assistance they need during the process.

Reviewed and gave feedback on Scope of Work Draft for SMB. Met with SMB to discuss the method that will be required for collecting parking signs for the data collection.
After all feedback was received, the Scope of Work was updated and sent for a final review. All changes were incorporated and the Scope of Work was officially sent to Finance.
Christina is out of the office until tomorrow. I will update this project after I hear back from her.
SMB has checked on the status a couple times since submitting the Scope of Work to Finance. At this time, Finance is working with CTM to determine if they can proceed with DIR or if they should just move on to advertising for a bid.
SMB does not have any updates to report. The last conversation Christina had with Finance they determined that they are going to advertise for bid and that the project is going to be processed by CTM because it's a data collection request.
Update from Christina:
The project was moved out of CTM review and in to the IT Purchasing queue as of 8/12, but still not processed. We checked in 2 weeks ago and there were not many updates! They reached out to us asking for commodity codes to send the Goal Determination to SMBR. Anthony is pushing to go for bid ASAP though so if I hear any big updates, I’ll let you know!

RFP Re-Offer Conference took place on 10/21/20.
Responses have been received for the RFP, the evaluations will take place ~next week~ in early January.
Individual review of offers is complete, the group Evaluation Meeting is scheduled for 1/21.
Evaluation of the offers was completed in January, post evaluation presentations by the vendors are scheduled for today.
We've received final offers. Will complete vendor collection in the next 4 weeks.
Group met with Gil (Purchasing SPOC) on 3/31 to review Best and Final Offers, made decision. Moving forward with the next phase to of the RFP.
Per Gil, the award notice has been published. Gil will get the RCA drafted over the next couple of weeks. We're on track for council action in July.
Received Request for Council Action (RCA) from Gil. Tentatively scheduled for 7/29 council meeting. I provided this information to Gilda and Karla and submitted their internal RCA review form. Waiting for additional direction from Gilda/Karla if anything else is needed.
RFP approved by City Council, Project will be moving forward.

We're helping the Signs & Markings Division procure citywide street sign asset data.
Background
With the release of our new Signs Work Orders app and attendant GIS processes, we are now accurately tracking the installation and maintenance of our street sign assets. However, we do not have reliable data on the condition and location of our existing street sign assets. This project will evaluate options for acquiring this data through procurement, manual collection, our otherwise.

If successful, ATD will acquire accurate geospatial asset data for street signs in the city.
