Unable to save the Web Map after editing it and cannot save when sharing with others #14369

Describe the problem.

Good Afternoon. I am working with Ella R. on a Web Map to scope the systemic safety component of TPW's Safe Streets and Roads for All grant. Currently, we are working in Ella's Web Map (https://austin.maps.arcgis.com/home/webmap/viewer.html?webmap=81f90821708f45ecbbe4e53f8eacac76) to identify corridors and treatment sites. Ideally, we want to be able to add Map Notes but I am unable to save the Web Map after editing it. Additionally, she cannot save a Web Map that I share with her.

We have the sharing settings set to "organization" but cannot create a new Group to collaborate in. Is DTS able to change the sharing settings for a map on the back end to allow multiple people to edit a Web Map and save it?

We also were not able to do so in a Web App and got errors regarding sharing settings for layers. Thank you for any input you can provide! If useful, I would be happy to join a call or learn how to change permission settings ourselves.

How soon do you need this?

Flexible — An extended timeline is OK

Is there anything else we should know?

It would be best to have this by early next week but we can be somewhat flexible as long as we don't both need to make updates to the Web Map.

Michael,

Thank you for submitting your request for support. I will be more than happy to answer any questions you have about ArcGIS Online (AGOL) web maps and web apps.

To begin I will answer some of of your questions and also provide you a link to a wealth of training material that may help you along with understanding AGOL.

Your initial question for not being able to save a copy of a web map is because the map you where working in was not created by you. Even if the owner changes permissions to the organization, that gives users the ability to edit the actual layers that are in the map, but not “change & save” the actual map itself. However you can still make changes to an existing map and save it, you just have to select the Save As and save the map to your own user Contents folder (you can create sub folders here to organize projects). Justa side note here all map have to have a Titile, Description, and a Tag in order to be able to do a Save As. This will create a copy of the web map in your own user profile contents folder where you will be able to the Save changes and updates that you make.

On the Map Notes, Map Notes can only be created, edited and saved by the orginal “author” of the map. This is why you have to do a save as on the map and create a copy that is your own version of the map. I also just wanted to mention that the data that is generated when you create map notes is only stored within that specific web map. You can share your map with map notes to others, but the map notes it self will not be a feature service (layer) that you can share to others, unless you give them access to the web map itself. If you are needing multiple people to contribute to “note taking” perhaps creating a feature service that is containing Notes information would be ideal for this situation.

As far as creating a new user group, I believe that you would need to submit a request for that with a reason. By default COA AGOL Users are not given permission to create their own groups. You can share your content with groups the groups that you are already a member of.

On the topic of creating a web application, the primary purpose for creating a web app would so the information you create can be shared to non arcgis users simply by providing the url link. There are many ways to customize a web app using the web app builder, but if you wanted a user to edit access to data within the web application you would need to add the Edit Widget to the web app. This still would not give other user access to edit your web application that you create though. A good way to look at the web apps for future use is they are ment to share your content to the general public and non arcgis users.
