Project: Mobility Services Portal #16232

We're building a digital permitting platform with Knack for the Mobility Services division so that staff can manage the group's 4-5 permit programs digitally in one centralized location.

Background

The Mobility Services division has 4-5 permit programs that it manages. They are currently using a spreadsheet to track their applicants but have used Knack applications in the past for the Shared Mobility permitting process and Residential Parking Program permitting. They have seen the benefit of centralizing applicant records in an authoritative database and would like to implement a similar permitting platform for the other program permit holders.

The stakeholders currently use paper applications and receive them either in person or via email. Everything is printed or on paper, reviewed, verified, and scanned back in. Once approved the combined PDF is sent to the supervisor. Once approved, documents are saved in the company's electronic file on the City's network drive. Same with any other application that is for permits that our office issues.

Scope & Deliverables

The stakeholders would like to see a solution that allows a permit holder to log in to a centralized digital system and from one location be able to create an account, apply for their operating authority, submit documents for review, and see real-time process tracking. They can view their current fleets and see when inspections are due and how far out their fleets are permitted. The permit holder could also renew their permit.

Desired Outcomes

3-6 months, started March 2024

The project was successfully launched on August 19th, and we have continued to monitor the platform closely. We've been working with the Mobility Services team to implement minor fixes and updates, including:

We are also in the process of developing a quiz feature to help users prepare for the permitting test. Additionally, we've started the initial scoping for the next MSP module, Vehicle for Hire.
