Background: Working with GivePulse, volunteer organization the helps people find volunteer opportunities. City would like to offer a 4hr class for interested volunteers to the City of Austin's Accessible Parking Enforcement Volunteer Program.

What: To host an online instructor led training for City of Austin's Accessible Parking Enforcement Volunteer Program

Audience: Internal/External users (Internal volunteers can’t work during regular work hours, must volunteer off work hours)

Duration: 4 hrs Timeline: whenever, is possible. Size of presentation: 55 slides

Pilot: Would like to do conduct a small pilot test (5-10 participants) – to show proof of concept Anticipated normal class size: 25 participants Material: Not sensitive material

Other Software Considerations

• Adobe Connect – City uses this for training (need to find out if okay to use for external customers)
• MS Teams (~250: live environment)
• Zoom Webinar- PIO uses and GivePulse recommends
• Other platforms

Would like it as easy as possible for end user.

@amenity that LiveStream option requires the user to have a paid Zoom account and I'm not sure if he'll be okay with that much delay. It's not supposed to be a large meeting at all.

What they did

Created a MS Team

• all 55 cadets
• every instructor
• chain of command

Setting up team was time consuming all members with city network, so it was easy to search for them.

Uploaded, new content every day on the teams channel (as back up)

Future

Planning on 17 weeks training

Backup Approach

• Each instructor, uploaded PDFs as back up.
• Embedded videos in PPT
• Some instructor pulled up video directly

Scheduled Breaks

Breaks - record every session. Record a session - stayed logged, and picked up a break. Break schedule: did it like live class If video lags happened would take a break

Technology Issues - only once

Waited 15 minutes to log back in.
