From https://docs.google.com/document/d/1dbkXbONlYppc7ukDjj9-iaa-Qoj-5vojQXDnbb0iT_I/:

JT: If you could get two things really strong, what would they be?

TI: Case Mgmt notes, clinical notes, group counseling notes, etc. aren’t available in the portal. They are hard copies or they’re in the shelter’s own systems.

TI: They are already doing the work, but the work isn’t captured. A lot of the bigger grantees already have an electronic database outside of the system...but the smaller grantees don’t have one yet...mainly do hard copies.

JT: For the digital systems - will they speak to the portal?

TI: Shelters use the COTS thing for their reports, then they copy and paste whatever is in the COTS thing and put it into the portal. It would be nice if the portal would interface and not make them enter the info twice. We tell them the portal needs to be the most accurate.

Neither of the two locations I visited used other systems. One was small, but I think the other was part of a larger network. The portal was their main tool. The backup was paper. It'd be good to do some more research to really determine how pervasive shared tools are.
