• Thank you to everyone who contributed to the three tasks we took on this week: Survey Research Plans, Research Roadmap , and the Internal Wiki
• Sheron will be meeting with Bonnie to discuss these documents today with the aim of receiving approval to begin survey research.

Discussion of Survey Research Plans

• We concluded that we need to scale down the sample sizes for the survey to be more realistic. Nikita suggested 10-15 participants per survey. We’ll follow up on this question next week.
• Sheron raised the question of what would incentivize legal forums/organizations and legal professionals to disseminate (and complete) the Information Gathering/Prospecting survey.
  • Previously, Bonnie suggested we offer work to orgs, but we lack the capacity.
  • We’re relying on their motivation to help a nonprofit civic tech org
  • Ayah suggested that we include offers to meet face-to-face or via Zoom as part of our survey dissemination outreach.
    • While we may not be able to include this as part of survey outreach, perhaps we could make it clearer on the Information Gathering/ Prospecting survey that we want contact info not only for future research but for partnership.
    • It was reiterated and agreed that building relationships with potential partners is extremely important not only for research but for getting users in the future

Discussion of IUT2 Feedback Request from Design & Content

• Kyle clarified the slide deck is not entirely finished but will be by next week
• Minqi: how do we translate this feedback request into tasks?
  • We discussed that we could use the feedback request as a way to (1) decide which parts of the website to focus our questions on and (2) divide up planning the questions and tasks.
  • Tom:
    • for IUT1, team created: (1) a google doc for generating tasks and providing feedback and (2) an excel doc (or google spreadsheet?) for scheduling tests/moderators/note-takers.
    • Important note: Bonnie’s approval was required to finalize the internal call for participants.
• We will wait to divide the feedback request until the slide deck is finalized next week.

Discussion of Cross-team Communication

• This began as a discussion of the Research Roadmap, but the focus was on ways we could better communicate with other Expunge Assist teams.
• Other teams have struggled to find what we’re working on. The wiki and roadmap are meant to help us more effectively communicate what we’ve been doing and plan to do in the future.
• Minqi asked for other suggestions for improving cross-team communication. Suggestions included:
  • Sending out and/or linking to a summarized version of our meeting notes
  • Regularly attending and presenting our work at the All Team meetings
  • Following up with other teams (design, dev, content, etc.) 2-3 weeks after sending our findings/recommendations to have a better sense of research impacts
  • Bringing github documentation up-to-date
  • Assigning github issues to milestones
• Having public wiki (in additional to internal wiki) also useful for establishing partnerships

• Brainstorming session on FigJam :
  • We all created sticky notes of "what we want to learn" from research with each of our user groups (legal professionals and justice-involved individuals)
  • We then grouped similar notes and added preliminary "themes"
  • Ran out of time before we could generate a list of key questions and use them to identify our objectives.
  • Next steps:
    • @yumengluo will create a github issue and will assign everyone to generate 1-2 key questions from the themes we identified
    • We will revisit the brainstorm on February 3

  • We need to identify objectives for ongoing and future research
  • Specifically, we're identifying objectives for research with each target user group: (1) legal professionals (broadly defined) and (2) justice-involved individuals
  • These objectives will go on the research roadmaps for each target user group (see Resources below)
  • Structure of objectives section for each roadmap (modeled on roadmaps from Internship project):
    • List of objectives
    • List of broader questions ("What do we want to learn from research with this target user group?")
  • Previously, we generated questions of what we wanted to learn from research with each target user group and grouped these questions into themes
• Today: each person was assigned two "themes" of questions and tasked with creating 1-2 research objectives (in the form of a statement) that addressed those questions.

• Update: Our team was stalled previously on surveys with user groups to learn terminology from legal professionals and justice-involved individuals. We received permission to move forward with these surveys.
  • Team leads had a meeting with Bonnie to discuss project documentation and connecting with partners.
• Kelsey reviewed the surveys with team and provided context for newer members
  • Broader research objectives - Brief discussion on how this is related to broader project
• We discussed prior survey outreach plans
  • Previous protocols don’t align with Bonnie’s current recommendations
  • Bonnie’s recommendations include creating a call for participants on HfLA’s LinkedIn, social media, and connecting with professionals on LinkedIn
• Next steps for team:
  • Timeline for survey dissemination
  • Clarification of research purpose
  • Go through existing databases and clean them up
  • Identify new places to reach both target audiences
  • Mark archive on outreach database if we are no longer using it
