Notes from Meeting

[ ] Content + Design system check in. Both are working on background tasks to initiate building a Content system. Various questions about how to work with Content and passing it between teams (design and dev).
[ ] Possibly the glossary will be a part of the content system, and assist when creating tool tips, hover overs, and other elements for users (defining complex or lesser known terminology).
[ ] Ditto and other tools - Sam is contacting the creators to ask for a free version of the product for nonprofits and exploring other tools for handling strings and content management. Integration in Figma could be helpful for our team.
[ ] Prelim feedback from Usability testing - establishing legitimacy will be very important here. Also, discussion about tool tips and hidden information (drop downs that are hidden, accordions) could be a useful element for Content to achieve giving information without overwhelming users. Various discussions about other points raised from UXRs prelim feedback.

[ ] Tasks from UXR - Sam is breaking these down into individual Github issues this week from the UXR excel sheet. Privacy policy is one of those.
[ ] Ditto and Frontitude look the same, choosing to do a trial run with Ditto. Have created an account with EA gmail login - can add one other user to test. Will be working out how to do this during the week so Sam and Irene can begin testing Ditto to create the Content system and to manage content across the product/source of truth. If it works well and we find we need to add more than 2 users that the free version allows, we will contact to ask for a free version for NGOs.
[ ] Content + Design system check in - Irene will work on the issue this week. Sam has started an overview of 'what Content systems are' document based on comparative research. Check in again next week. Design is starting to implement changes to the Design system. We are approximately at pace with Design still.
[ ] Github milestones. Jamie gave an introduction to the new milestone labels for Github. Discussion of phases and what needs to be in a version 1 versus a version 2, for example, and how to arrange issues strategically so that the Content is consistent.
[ ] Discussion of the "November deadline" which refers to a deadline set in the laws regarding the late date at which expungement can be sought. No one is entirely sure if this deadline holds - issue is our product could potentially be "useless" if it's not used by users before this date.

[ ] November deadline - UXR is researching this, will have a more clear picture of this soon
[ ] Design seeking feedback - Navigation bar (landing page). Content would like a holistic look at the landing page changes to make the best recommendations/changes. Perhaps Design + Content could look at all issues/changes for the landing page to start with?
[ ] Content + Design system task check in - Irene has made progress, found discrepancies and gaps in for example CTAs and buttons, "save" button when there is no save function, etc. Noted in figma file. Sam has not had time for this task this week.
[ ] Side discussion about using library computers, what options are available and differences between them (more funded, less funded areas for ex). Some have 1 hour limits for example.
[ ] Side discussion about accessibility for the website - should and how can we incorporate any accessability issues now (larger text, alt. text, etc.). Getting a basic website out to users and then tackling accessibility vs. doing it "right" from the beginning was discussed.
[ ] Ditto trial - need to contact Bonnie for help with login, or use a private account to give Ditto a trial run. Looks like Dev would need their own login to pull from Ditto to do their work - i.e. a paid version is needed from Ditto (asking for free version)

[ ] UXR & Content collab - glossary/terminology issue check in - Irene won't have much time for this at the moment, will collab with Ana about it and check back in with updates wherever it lands.
[ ] Side discussion about terms: "declaration letter" could come off "declarative," forceful, harsh, permanent. Discussion about changing it to another term. "Support letter" is one suggestion. This needs research backing (glossary issue) - what terms exist, what do courts use, what do folks expunging records use, what is recognizable/preferable? And then selected based on what we know. Previous UXR team stated that "declaration letter" was what the courts use, hence the change from personal letter to declaration letter. We need a "final answer" whichever term is chosen.

[ ] Updates from UXR meeting and the glossary issue - UXR proposed to create a simple survey to discover what legal professionals and those seeking expungement might call the two most challenging terms (1. what to call the letter that the letter generator creates and 2. what to call expungement, reduction, reclassification, etc. and when). Both Val and Irene have potential contacts to snowball the survey with. (snowball method = send to one person, who sends to another and another and another, thus gathering more responses by tapping into the network of others)
[ ] Briefly check in on Design and Content system - minor changes from the Design side, Content side is waiting still to find out about Ditto and moving forward
[ ] Discussed creating a site map with Anita from Design, who has made a start already on the audit and setting a time this week to discuss
[ ] Jamie updates from Bonnie about the new direction for EA - namely working towards a second internal test rapidly. I.e. working with 'must, would, could, should' have exercise and prioritizing and working on only the tasks in the "Must" category before the second round of internal usability testing. After that, we will work towards a product to put in front of target users for testing. Idea now is to do as minimal an update as possible
[ ] Jamie updates about Design's idea to do like the HfLA website team and create individual pages in figma that correspond to the individual pages in the product. This was we can track the iterations, have better understanding of the sources of truth across teams directly in figma. Sam raises question of will there be an overview of the entire product still, some kind of visual showing the flow between pages, particularly relevant to content and the categories that cause users to see different flows depending on their selections. Issue with having two areas to update, the overview and individual page. Agree to discuss further with design, all are on board with making changes to make it easier to track iterations and the source of truth.

The definitions are half technical, we need to do some usability to find how technical is the right amount for our user base and what is helpful for them in terms of definitions. [ ] Unsure when first planning week will happen, waiting on results from LettuceMeet
[ ] Catch up on developments since last Design/Content sync
[ ] Did a content standup/crit and worked out the copy from last week's tasks. From that we thought there should be more information in the FAQs regarding law enforcement (can they access data in any way) and considered how we could link that from the security message on the landing page (which CTA goes to privacy policy). Decided for now to add 3 new FAQ questions and have one of them listed prominently on the landing page. This is also to address and strengthen the legitimacy of our site to users. Keeping tone causal rather than legal so users know for sure and feel safe.
[ ] After user testing - we need to prioritize fixing Terms of Service and Privacy Policy (there are things that are just "off" in it and that will decrease user's feelings of legitimacy. For example: one calls our website "software" and shows it was not carefully edited and corrected. These kinds of errors could erode trust and should be fixed before target users see the product.
[ ] We are on track to finish our high priority tasks much sooner than expected if there are no hiccups. Could be in about 2 weeks.

Notes from Meeting

[ ] All Content system items are done, Irene will close the issue on Github. We are ready to move forward with new tasks for the content system.
[ ] Glossary issue: Discussed how to write for 5th-8th grade reading levels by using online resources and apps like Hemingway app, trial and error, defining for lowest reading levels possible, simpler sentence structure, and so forth. Irene will clean up this issue.
[ ] We briefly looked at the About Us page. Irene suggests adding a timeline/history of our project and it's collabs with CfA, perhaps in a graphic (to up the legitimacy). She also suggested to add statistics about records cleared. We discussed who this content is targeted to and if we have enough content for both an about us and landing page, and which should be where. Ultimately decided to talk to Design at the next sync before proceeding.
[ ] Discussed the LG updates and decide to discuss expanding the categories on the involvement page, and addressing the "none of the above" category that leads to unemployment. Discussed creating a separate unemployment category under Jobs and adding an "other" category that is broad. Irene also suggested adding activism. Sam suggests changing parenting to caretaking. All changes to categories also mean subsequent changes to the questions on the pages that follow. We would need to talk to Dev about this also. Preferably at the start of making these changes.

[ ] We discussed all the ongoing tasks and edited/finalized copy in meeting. Landing page is complete for IUT 2 and About us is complete save for Design edits and adjustments that will be made in that process. Made smaller changes like buttons.
[ ] Discussed letter generator auto-generated text. Suggestions to remove it entirely, or add options the user can click (to add extra/transition sentences, could choose from a list), or automated sentences that are chosen at random. Both agree changes need to be made, which option is up for iteration. Sam will continue iterating with Design and Dev input.
[ ] Discussed letter generator categories. Discussed options for renaming Recovery and some issues with Education category (needs to be broad and specific). Potential to add more categories was discussed again. Sam will take forward with Design and Dev.

[ ] Content is finished everywhere. Tasks left to handover/finalize with Design: 1. Handing everything over to Dev and coordinating all of that with Design. 2. Reverting the headers "Previewing..." back to the existing copy for W2 on the Design hand over space to not confuse, and making a note that we are keeping "Preview and edit" for W3 so we remember to work on/finalize/hand over when W3 rolls around.

[ ] Updates on teammates: Serena got a job (hooray!) and will not be a co-lead after tomorrow's sync for some months. Jamie will be transitioning out around the end of the month as planned, and a new PM is still in the works. Anita will be unable to lead the Friday syncs due to work commitments and being in the car during the meetings. Alexis is open to leading the Friday syncs, Sam can support or take on leading them when necessary or every other time if desired. Content discussed possibly having Friday syncs every other week instead of every week as work is less intense during this period, and due to team shifts. Will discuss with Design, also open question of who will attend. Alexis is also interested in taking on Design tasks and will speak with Anita directly.
[ ] Alexis finished the mobile wireframe check through. Made minor changes in areas like missing underlines. There were two inconsistencies of note: 1. input fields were inconsistent, flagged Design. 2. Download final page text was incorrect on the Desktop Master page (said "test" repeatedly instead of the imagined stories). We will correct these errors and flag Design before finalizing this issue.
[ ] Discussion around ChatGPT. Sam updated from the Leads/PMs meeting where Syndey raised shared concerns around privacy by potentially using ChatGPT. There were discussions about potentially using Grammarly as a plug-in/aid. There were discussions about potentially having two options (or more) for the user: using our generator or directing them to use ChatGPT or similar. Alexis and Sam discussed concerns and opportunities, how it would impact a W3 (third iteration of the site) version for Content to give more warnings/information to the user about their data, and potentially creating a kind of walk-through for how to use ChatGPT. One thought is if users will use AI tools like ChatGPT regardless of our tool, an opportunity would be to show them useful ways to use it for these purposes rather then letting them figure it out for themselves. This is an ongoing discussion team-wide.
[ ] Sam updated about Ditto. Contentful will be demo-ed at a later date. Ditto's free version only allows 20 components, which could be limiting for our needs. However, it could still be a potential space for the source of truth (SOT) and managing content so that the team needs to do less manual checks like the mobile wireframe review. Sam will continue investigations.
[ ] Reviewed the upcoming needed tasks. Alexis will take on updating and designifying the Content Guidelines. Sam will continue with SOT.

[ ] New members to the team, Audrey is auditing for Content for a while. Julia is transitioning in as a PM as Jamie transitions out. Kyle is returning from his break. Content now has 3 members and a potential + 1 (team growth!)
[ ] Anita joined us from Design and we had a somewhat hybrid Content meeting and Content/Design sync (since the sync for tomorrow is canceled)
[ ] Main mobile wireframe Github issue is closed. Design & Content will finish the two new issues and then we will have both Mobile and Desktop Master wireframes (and a cleaner/more organized Figma file)
[ ] Alexis is making progress on the Content Guidelines. Will ask for feedback soon. Kyle & Sam will give input on what updates were needed to the rules, guides themselves, grammar, etc. based on what they encountered during IUT2 that didn't work/needed updating.
[ ] Sam gave a brief overview of how to use Github and how to create issues. Sam is primarily creating and managing the issues, but all team members should be able to assign themselves, put issues in the right columns. The aim is that all members should be able to create issues themselves.
[ ] Alexis demo-ed Contentful, a platform set up to test by Tom G (Dev). Content found there to be pros and cons, and Alexis will follow up with Dev on Monday. Questions Content had: 1. Can we change color and font, and how? 2. How to set up a preview for a page? 3. Can we create new pages or does Dev have to initiate that? 4. What is a content model? (there is a tab at the top labeled Content Model) 5. Is Contentful free? 6. How many log ins can we have, and would they be our private emails or would there need to be a central log in through, for example, HfLAs email? A concern is that using this platform would potentially split our SOT (source of truth), so that we would have Figma, Contentful, and potentially a third platform where the SOT lies. It would also mean that we might need to update in both spaces.
[ ] Short updates from Design: No sync meeting tomorrow. Next week Design and Content will do a Moscow type exercise to clean up the Github board (primarily of the IUT 1 feedback issues that were medium and low priority for IU2 iterations). Design has a lower bandwidth and seeking 1 new Designer for the team.
[ ] Short updates from UXR: UXR has begun distributing the surveys, so there will be data and results coming in soon. They will also be conducting usability testing on the landing page soon, and data and results will also come in from this. These are two streams of work that will soon come to Design & Content. Hopefully UXR can provide a loose timeline, and we can in turn provide Dev with a loose timeline and create smaller batches of iterations and begin to have a constant flow of work rather than huge IUT2 type iteration sets (problem was Dev had no work for months).

[ ] Research is moving forward with IUT 2 on the landing page mid June, will also be doing testing on other sections speculatively in mid July. If anyone from Content wants to observe or learn about the UXR process, get in touch with the Leads/PMs Danielle and Analicia.
[ ] Alexis presented an idea using Figma as iteration space and Figjam as SOT. The team discussed pros and cons. Audrey mentioned the ideal solution is a paid version, but not an option for our team. Audrey suggested learning about Figma branching https://www.figma.com/best-practices/branching-in-figma/ (also info on Git branching https://nvie.com/posts/a-successful-git-branching-model/) as a potential option. Team will learn about this during the week. Alexis will take over the SOT issue from Kyle going forward, the team will give input at any needed point. Figuring out the SOT before we start new iterations after IUT 2 would be ideal, so there is some time left. This is possibly the biggest challenge.
[ ] 930 has been passed to Dev
[ ] Team looked at Audrey and Alexis's iterations for 932. Decided to delete one previous link, add a new resource link Alexis found, and go with one of the iterations presented with some modifications. Will change the heading and the resource linking sentence. Audrey and Alexis have instructions how to finish off the task trough Design & Dev hand off, Sam will support in any area needed.
[ ] Updates from the Bonnie meeting: Bonnie & Sam may continue talking about the SOT problem. Content will work on high level goals for content to feed into the vision for EA.
[ ] Next meeting is in two weeks, and we will do a stand up on tasks. Sam reminds that stand up space can be used however the team members need to get feedback, brainstorm, get unstuck, and move forward on tasks. It can be as formal or informal as we need it to be. - Discussed GitHub - emphasized importance of using it to keep track of assignments, projects, etc so that future volunteer’s know the history of work being done. - Discussed Google Drive - our folder is 10 UX Content Writing.
- Discussed Figma and Figjam - Figjam: We have three Figjam boards. One for research, one for design, one for PMs, and one is for content / design collabs. When we need to ideate with design, we’ll go to Figjam. Figma: Our main Figma file is organized in a logical way for future teams. For content, we are currently working on a new content guidelines. We have Desktop and Mobile Master pages. It should look exactly as it is on the website. They are essentially “don’t touch” spaces (to maintain a Source of Truth). Next time: We’ll discuss how we’ll collaborate between the teams.
