Objective:
Establish a process to efficiently take attendance during in-person meetings, as we transition from only taking attendance through an automated system used in virtual meetings to a manual attendance method for meetings in-person.
Description:
To ensure accurate attendance records, each project member is now required to confirm their attendance by reporting to Keishlyany Sanabria (@keisanabria) during the meeting. Each member should provide their name to Keishlyany, who will then record this information in the meeting minutes. This new procedure will help maintain organized records for all in-person sessions.
Requirements:
Each project member must report to Keishlyany Sanabria (@keisanabria) to provide their name for attendance.
Keishlyany will compile and add the attendance information to the meeting minutes for each in-person meeting.
Time Constraints:
Deadline: Tuesday, 12 November, 2024
This procedure should be implemented immediately to avoid gaps in attendance records. Attendance tracking should begin at the next scheduled in-person meeting. There is an exception for the assignee to start it after the scrum meeting during November 8 because she will be in an academic conference at Texas, which excuses her from taking attendance.
Completion Criteria:
Attendance is successfully recorded for each in-person meeting.
Attendance information is consistently included in the meeting minutes.
Difficulty: 1
The task requires a straightforward process of members providing their name to a designated person during each meeting. No technical skills or complex implementation are involved, making this a relatively simple adjustment.
Priority: 9
Consistent attendance tracking is essential for maintaining reliable meeting records and ensuring that all members are accounted for in in-person sessions. This change should be implemented promptly to prevent any gaps in attendance data as meetings continue in person.
Implemented this method by taking attendance during the end of scrum meetings, leaving minutes before it ends so that members do not stay extra time after the meeting for the attendance.
